Office Administrator/Front Desk

Position Objective

The Office Administrator sets the stage for a welcoming first impression for office visitors as well as offering administrative support to the firm as a whole. This position is responsible for answering the phone in a polite and positive manner, assisting visitors who arrive for meetings or events, ensuring the office spaces are clean and inviting, and assisting on projects as assigned.

Position Description

Essential Job Functions
Office Support/Administrative Support

  • Answer calls coming into the main lines and direct callers in a polite and professional manner
  • Greet office guests from the front desk and direct them to the appropriate person or conference room
  • Serve as primary point of contact for mail and packages coming in and out of the office, FedEx/UPS pick up and deliveries and courier pick ups
  • Ensure conference rooms, kitchen and common areas are clean and well-stocked for associate and guest use
  • Monitor office supply inventory and reorder items as necessary
  • Participate in the preparations of in-office special events office to ensure smooth execution
  • Coordinate breakfasts and lunches or any catering needs for company events/initiatives
  • Provide administrative support to the firms such as basic data entry, contract red lines, maintain firm licensures and additional administrative tasks as necessary 
  • Complete expense reports for directors and partners
  • Manage business calendars for executive team / schedule appointments as necessary
  • Manage firm copiers to include service requests and toner refills

Basic Qualifications

  • High school diploma or GED required
  • Intermediate skill in using Microsoft and Google products
  • Previous experience in a receptionist or administrative role preferred but not required

  • Demonstrate strong organizational skills and ability to prioritize tasks 
  • Strong initiative and is able to accomplish tasks with minimal manager supervision
  • Utilizes a high-energy and engaging demeanor with co-workers and guests
  • Shows excellent communication skills, both in writing and face-to-face
  • Maintains composure and professionalism while in the office and representing the firm outside of the office
  • Embraces technology and is able to use it in ways that improves the streamline office operations
